At Wilmac Technologies, we are committed to helping you maintain your privacy while on our Website or while utilizing our Products and Services.
Last Updated July 28th, 2026.
1. Introduction
Wilmac Business Equipment Co., doing business as Wilmac Technologies (“Wilmac,” “we,” “us,” “our”), respects your privacy. This Privacy Policy describes how we collect, use, disclose, and protect information in connection with:
- The Wilmac Technologies website at wilmactech.com (the “Website”)
- The Wilmac Continuity WFM mobile app (the “WFM App”)
- Our marketing communications and outreach
- Our software products and services, including Wilmac Continuity WFM, Wilmac Continuity Replay, Mac, and Archie (collectively, the “Products and Services”)
Wilmac is a business-to-business (B2B) software provider serving public safety agencies (including PSAPs and 911 centers) and regulated industries such as financial services, healthcare, and insurance. Our Products and Services are not directed to individual consumers or to the general public.
Because our Website and Apps involve different types of information and different relationships with the individuals whose data we handle, this Policy is organized into general sections that apply broadly, plus a product-specific section that applies to the Wilmac Continuity WFM mobile app (see Section 8).
2. When Wilmac Acts as a Controller vs. a Processor
Our role depends on the context:
- Controller. When you visit our Website, interact with our marketing communications, contact us as a prospective customer or partner, apply for a job, or otherwise engage with Wilmac directly, we determine how and why your information is collected and used. In these contexts, Wilmac is a data controller.
- Processor / Service Provider. When you use one of our Products and Services under a license held by your employer or agency — for example, when you use the Wilmac Continuity WFM mobile app as an employee, or when calls are recorded and stored through Wilmac Continuity Replay at your workplace — your organization is the controller of that information, and Wilmac operates the Service on your organization’s behalf. Rights requests in this context are handled through your organization.
3. Information We Collect Through the Website
3.1 Information You Provide
When you interact with our Website — for example, by requesting a demo, subscribing to our newsletter, downloading a resource, registering for a webinar, or contacting us — we may collect:
- Contact details (name, business email, phone number, job title)
- Company or organization name and industry
- The content of your message or request
3.2 Information Collected Automatically
When you visit the Website, we and our service providers automatically collect:
- IP address and general location derived from it
- Device and browser information (type, operating system, screen size, language)
- Referring URL and pages viewed on our Website
- Actions taken on our Website, including scroll depth and clicks
- Cookie and similar tracking data (see Section 5)
4. How We Use Information
We use the information we collect to:
- Operate, maintain, secure, and improve the Website and our Products and Services
- Respond to inquiries, deliver requested resources, and provide customer support
- Send marketing communications (with your consent where required), including newsletters, product announcements, and event invitations
- Analyze Website traffic and understand which organizations show interest in our Products and Services
- Comply with legal obligations, enforce our Terms of Use, and protect the rights, safety, and property of Wilmac, our customers, and others
We do not sell personal information for money. Certain analytics and advertising practices described in this Policy may qualify as “sharing” or “selling” under some U.S. state privacy laws; see Section 9 for your rights.
5. Cookies and Tracking Technologies
Our Website uses cookies, pixels, and similar tracking technologies. We group them into the following categories:
- Strictly necessary. Required for the Website to function.
- Analytics. We use Google Analytics to understand aggregate site usage. This data is not used to send marketing communications to individuals based on their website activity, and we do not sell or share individual visitors’ analytics data.
- B2B visitor identification. We use Leadfeeder (operated by Dealfront Group GmbH) to identify the companies visiting our Website by matching IP addresses against a database of business IP ranges. Leadfeeder helps us understand which organizations show interest in our Products and Services; individual visitors are not identified by name unless they separately submit a form on our Website. To object to this processing, you can install an ad-blocker or no-script plugin or enable Global Privacy Control (GPC) in your browser. To exercise rights with Leadfeeder directly, review the Leadfeeder Privacy Notice or contact privacy@leadfeeder.com.
- Marketing and advertising. Cookies and pixels from platforms including Google Tag Manager and Reddit Pixel help us measure the effectiveness of our advertising and reach relevant audiences.
You can manage your cookie preferences through the cookie banner on our Website or through your browser settings.
6. Marketing Communications
When you subscribe to our newsletter, download a resource, or otherwise opt in to receive information from us, we may send you marketing communications about Wilmac products, industry news, and events. You can unsubscribe at any time using the link at the bottom of any marketing email or by contacting us at marketing@wilmactech.com.
We use Salesforce Marketing Cloud Account Engagement (Pardot) to send marketing communications and to measure engagement (opens, clicks). This helps us understand what content is relevant to our audience and improve future communications.
7. How Information Is Shared
We do not sell personal information for money. We may share information as follows:
- Service providers. Vendors that support our operations — including hosting, analytics, marketing automation, CRM, and customer support tooling. Current service providers include Google (Analytics), Leadfeeder / Dealfront, and Reddit. Service providers are bound by contract to use information only to provide services to Wilmac.
- Customer organizations. If you interact with us as a representative of an existing or prospective customer or partner, we may share information with your organization.
- Legal and safety. When required by law, regulation, or legal process, or to protect the rights, property, or safety of Wilmac, our customers, users, or the public.
- Business transfers. In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality obligations.
- With your consent or at your direction.
8. Wilmac Continuity WFM Mobile App
This privacy policy section applies to the Wilmac Continuity WFM mobile application (the “WFM App”), a workforce-management tool provided to employees and supervisors of organizations (such as public-safety agencies) that license Wilmac Continuity WFM. The WFM App is not a consumer product and is not offered to the general public.
Accounts are created and managed by your employer or agency (your “Organization”), not through self-registration in the WFM App. The WFM App connects to your Organization’s Wilmac Continuity WFM system, and your Organization controls the workforce data within it. Wilmac acts as a service provider to your Organization for the WFM App.
8.1 Information We Collect Through the WFM App
Account and identity information. Your name, email address, and a user identifier, provided through your Organization’s identity system (AWS Cognito). Used to authenticate you and manage your account.
Workforce data you view or submit. Your schedule and shift assignments, time-off requests (including optional notes), shift swaps, and overtime and callback activity. This data originates in your Organization’s Wilmac Continuity WFM system.
On-device authentication data. Secure sign-in tokens stored on your device to keep you signed in.
We do not collect device location, do not use advertising identifiers, do not serve ads, and do not track you across other companies’ apps or websites through the WFM App.
8.2 How We Use WFM App Information
Solely to: authenticate you and manage your account and access, provide the WFM App’s functionality (schedules, time off, shift swaps, overtime, supervisor approvals), and maintain the security and integrity of the Service. We do not use WFM App information for advertising or marketing, and we do not sell it.
8.3 How WFM App Information Is Shared
We do not sell Wilmac Continuity WFM App information and do not share it for advertising or marketing. Information is processed by your Organization (which controls the workforce data and administers your account) and by our service providers (for example, cloud infrastructure such as AWS) under contract to operate the Service. We may disclose information if required by law or to protect the rights, safety, and security of users, the public, or our Products and Services.
8.4 WFM App Data Retention
Because Wilmac Continuity WFM serves public safety and other regulated organizations, workforce and scheduling records may constitute official or public records subject to legal and regulatory retention requirements, which may include public-records laws and, where applicable, CJIS requirements. We and your Organization retain data as needed to provide the Service and to comply with those obligations. Certain records may be retained even after a user leaves and may not be deletable upon individual request.
8.5 WFM App Choices and Data Requests
Because your Wilmac Continuity WFM App account and data are provisioned and controlled by your Organization, requests to access, correct, or delete your information are handled through your Organization’s administrator. You may also contact Wilmac at marketing@wilmactech.com. We honor verified requests to the extent permitted by law and the retention obligations described above.
8.6 WFM App Security
We protect Wilmac Continuity WFM App information in transit using industry-standard encryption (TLS/HTTPS) and store authentication tokens in secure device storage. Access is controlled through your Organization’s identity system, which may include multi-factor authentication. No method is completely secure, but we use reasonable safeguards.
9. Your Rights and Choices
Depending on where you live, you may have specific rights regarding your personal information, including some or all of the following:
- The right to access, correct, or delete information we hold about you
- The right to opt out of marketing communications
- The right to opt out of the sale or sharing of personal information under U.S. state privacy laws (including California, Colorado, Connecticut, Virginia, and others)
- The right to limit the use of sensitive personal information, where applicable
- The right to object to or restrict certain processing under the EU or UK GDPR, where applicable
- The right to data portability
- The right to lodge a complaint with a supervisory authority in your jurisdiction
To exercise these rights, contact us at marketing@wilmactech.com. We may need to verify your identity before processing your request. If your information is held by us in our capacity as a service provider to a customer organization (for example, Wilmac Continuity WFM App data), please contact your organization’s administrator, who will coordinate with us as needed.
10. Data Retention
We retain personal information for as long as necessary, from our website and all our services, to fulfill the purposes described in this Policy, unless a longer retention period is required or permitted by law. Retention periods vary based on the type of information, the context in which it was collected, and applicable legal obligations. Section 8.4 describes retention specifically for the Wilmac Continuity WFM App.
11. Security
We use administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, unauthorized access, disclosure, alteration, and destruction. These include encryption in transit (TLS/HTTPS), access controls, and secure infrastructure practices. No security measure is completely secure, and we cannot guarantee the security of any information transmitted to us.
12. Children’s Privacy
Our Website, Products and Services are not directed toward children, and we do not knowingly collect personal information from children.
13. Privacy Across Jurisdictions
Privacy laws vary by location, and the specific choices and rights available to you depend on where you are. Our Website is designed to adapt to your jurisdiction:
Cookie consent. When you visit our Website, our cookie consent banner detects your general location and presents the consent options appropriate for your region. Visitors from the European Economic Area, the United Kingdom, or Switzerland see an opt-in banner that requires affirmative consent before non-essential cookies are set, consistent with the GDPR and the ePrivacy Directive. Visitors from California, Colorado, Connecticut, Virginia, and other U.S. states with comprehensive privacy laws see opt-out controls consistent with those laws. Visitors from Canada see options aligned with PIPEDA and, for Quebec residents, Law 25.
Data subject rights. The specific rights available to you also depend on where you are; see Section 9 for the full list. You can contact us at marketing@wilmactech.com from any location to make a privacy request, and we will respond consistent with applicable law.
Global Privacy Control. We honor GPC signals from browsers that support them, regardless of your location.
Wilmac is headquartered in the United States, and information we collect through the Website may be stored and processed in the United States or in other countries where our service providers operate. Where required by law, we implement appropriate safeguards (such as standard contractual clauses) for cross-border data transfers.
14. Third-Party Sites and Services
Our Website, Products and Services may link to third-party sites and services. We are not responsible for the privacy practices of those third parties. We encourage you to review the privacy policies of any third-party site or service you visit.
15. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be indicated by updating the “Last Updated” field above and, where appropriate, by providing additional notice through the Website or the applicable App. Your continued use of the Website or Products and Services after changes take effect indicates your acceptance of the updated Policy.
